I’m not gonna pretend these AI tools are perfect or that they're gonna replace every human job out there. That's just not how it works. But for a lot of the fiddly, repetitive tasks that used to eat up my time or that I'd typically delegate to an assistant, AI has stepped in beautifully. I’ve refined these workflows over the last year or so, and honestly, they've been game-changers for my little operation. Here are six AI workflows that have completely replaced the need for an assistant for me.

1. Initial Client Call Summarization and Action Items

After a first discovery call with a potential client, my brain is usually buzzing with ideas, but also a lot of specifics. Before, I'd immediately jump to writing down notes, trying to recall every key point and action item. Now, I use a tool called Fathom.video to record and transcribe all my Zoom calls (with permission, of course!). As soon as the call ends, Fathom spits out a pretty good summary, highlights the key moments, and even pulls out potential action items. I then take that raw output, paste it into ChatGPT, and ask it to refine it into a concise, professional summary with clear next steps. This saves me probably 30-45 minutes per call, ensuring I don't miss anything important and can follow up quickly and accurately. It’s like having someone listening in and taking perfect notes every time.

2. Drafting First-Pass Blog Posts and Social Content

Writing content from scratch can be a real time sink. While I still do all the heavy lifting for my long-form thought pieces, for things like blog posts for bademode24.net or quick social media updates, I lean heavily on AI. I’ll give ChatGPT a specific prompt – like “Write a listicle about 5 common AI myths for small business owners” – and provide a few bullet points of what I want covered.
